Effective date: September 7, 2026
The File Card is a G.I. Joe collection tracker and community-maintained catalog. This notice explains the information we collect and how it is used.
Information we collect
We collect account information such as your email address, display name, password hash, authentication-provider identity, and account preferences. If you choose to link a Reddit username, we store that too. We also store collection entries, notes, photos, catalog submissions, ratings, reports, and moderation records that you provide. Basic technical information, including IP-based rate-limit records, is used to protect the service from abuse.
How we use it
We use this information to operate your account, display the collection visibility choices you make, maintain the catalog, prevent abuse, respond to reports, and improve reliability. We do not sell personal information.
Sharing and public content
Only content you choose to make public is shown in shared collections. If you link a Reddit username, it is shared with r/gijoe’s reference bot solely so it can resolve a lookup of that username to your public collection; the linked username is not otherwise displayed on the site. Approved catalog contributions may remain in the catalog even if you later remove the related item from your personal collection. Administrators and moderators can review content and reports to keep the service safe.
Reddit reference bot (r/gijoe)
The File Card operates an automated reference-reply bot for G.I. Joe Reddit communities. When a post or comment contains a bracketed reference such as [[item name]], the bot queries The File Card’s public catalog at that moment to find a match; this lookup does not involve or reveal any File Card account. If the reference is [[collection:username]], the bot sends the given Reddit username to The File Card to resolve and link that username’s public collection. To avoid posting a duplicate reply to the same post or comment, the bot stores that post or comment’s Reddit identifier in the app’s own Reddit-hosted storage without an automatic expiration. Reddit’s platform also records the submitted post/comment text in the app’s operational logs so we can run and debug the bot. This information is used solely to operate the bot and is not sold or used for advertising.
Service providers
Optional Google and Apple sign-in are handled by those providers. Verification and password-reset messages are sent through our email delivery provider. If automated image safety review is enabled, uploaded images are processed by Google Cloud Vision. Those providers process information needed to provide their services under their own privacy terms.
Retention and deletion
We retain account information and personal collection data while your account is active. You can permanently delete your account from Account Settings, or see the Delete Your Account page if you cannot sign in. Deletion removes your account identity, collection, uploaded photos, reviews, reports, and account-linked rate-limit records. Approved shared catalog records may remain without your account identity so the community catalog stays useful.
Your choices
You can edit your account profile, collection visibility, personal notes, and personal collection entries in Settings and My File Cards. You may request help with account or privacy questions at [email protected].
Changes
We may update this notice as the service changes. The effective date above will be updated when we do.
